When a payment fails or appears twice
Failed payment: confirm the provider status, do not mark the reservation paid, tell the guest what failed without exposing sensitive details, and offer a secure retry route or supported alternative.
Duplicate payment: verify both transaction identifiers before refunding. A pending authorization and a captured charge may look similar in online banking.
Refund or dispute: keep the confirmed price, written terms, communication, receipt, change history and any relevant property evidence together. Never manufacture evidence after a dispute begins.

International guests and currency decisions
Booking currency
State the currency before payment and avoid implying that the guest’s bank conversion is controlled by the host.
Processor support
Confirm supported cards, authentication, settlement currency and payout country in the processor account.
Bank transfer
Do not confirm from a screenshot. Match cleared funds, payer reference and amount in the receiving account.

How should vacation rental payment processing work for a direct booking?
Confirm the stay and complete price, collect payment through a secure provider, record the reservation reference, send a receipt and written terms, and reconcile any refund or dispute against the same record.
Should a host collect the full balance at booking?
It depends on lead time, cancellation terms, operating risk and local rules. A deposit plus later balance can reduce the first charge, but it creates another due date and possible failed payment.
Does this payment planner store card or booking data?
No. It performs arithmetic in your browser. It does not collect card details, create a charge or store the values you enter.
Is a refundable security amount part of booking revenue?
No. The planner displays it separately. The legal and payment treatment of a hold or collected deposit varies, so confirm the correct method and timing locally.
Can Host Pilot accept card payments?
A Host Pilot direct booking site can start a Stripe Checkout payment when the host has the required setup and the property supports online payment. Properties can also be configured for cash handling. Availability and terms must still be reviewed by the host.
When does a host need a PMS or specialist payment workflow?
Consider one for multiparty payouts, owner accounting, trust accounts, complex tax handling, portfolio-wide reconciliation, advanced fraud controls or many scheduled balances.
